Project Specialist, Events (parental cover)
We are looking for a structured and enthusiastic Project Specialist to develop, coordinate, and execute impactful events for the Novo Nordisk Foundation. This is a 1-year parental cover position, with an expected start date of January 2027.
The Events team consists of five full-time colleagues and two student assistants planning and executing events, scientific symposia, lectures and global events within the Foundation’s strategic ambitions. In collaboration with the scientific departments within Health, Planetary Health and Technology as well as the Foundation’s largest grant holders under the Novo Nordisk Foundation Science Cluster umbrella we are creating impact through events for scientists, decision makers and other key stakeholders. Our events are mainly hosted in Denmark with a high degree of international participation.
The Events team is anchored in our Global Partnerships & Events department, which includes 22 colleagues across Denmark, Kenya, India, and the US. Our department is integrated and collaborative, bringing together colleagues from diverse backgrounds who work together to achieve shared goals. You will join a group that values inclusivity, teamwork, and the exchange of ideas. The department is responsible for strategy implementation through integrating strategic events and supporting key partnerships.
The Job
As Project Specialist, you will collaborate closely with colleagues in the Events team and programmatic colleagues across the Foundation to coordinate, plan, execute and support events within our strategic areas of interest. This role includes project management, stakeholder management, and coordination across the various venues and vendors we work with.
The job both offers and requires a great deal of flexibility and involves executing multi-day conferences, evening events, and working with people in different time zones. The primary working place is at the Novo Nordisk Foundation’s office in Hellerup.
Your tasks will include:
• Support individual events from conception to execution in close collaboration with team members
• Creating communication materials related to events, for example for SOME and our websites
• Preparing meetings, reports, presentations and briefing materials
• Support in building internal and external networks within our strategic areas of interest
• Conducting practical elements in event planning, such as travel and accommodation administration for speakers, reimbursement and budget follow-up
• Supporting the department with ad hoc activities and internal processes
Professional and Personal Qualifications
We are looking for a person with excellent coordination and planning skills and ideally experience in event planning. Whether you are a new graduate or have a couple of years of experience, it is important that you are a confident communicator and enjoy collaborating with a wide range of stakeholders.
Furthermore, we expect that you have:
• A bachelor’s or master’s degree within e.g., the natural sciences, health, communication or international business
• Documented experience with planning, administrating, and executing events in academia or in a scientific environment
• A flair for developing or optimising concepts for events
• The ability to work collaboratively and manage multiple priorities
• A quality-conscious and detail-oriented approach
• High level of integrity and professionalism
• A solution-oriented mindset
